How to find and preserve your QuickBooks records

Find out how many years of books you have in QuickBooks Online or QuickBooks Desktop. Then save a full copy you own before you cancel or retire the software.

Who can do this
QuickBooks Online: an admin user. The audit log needs admin access. QuickBooks Desktop: a user who can open the company file and switch it to single-user mode.

Step 01

Where your QuickBooks records live

First, check which QuickBooks you use. QuickBooks Online lives in the cloud. QuickBooks Desktop keeps a company file on your computer or server.

  • QuickBooks Online keeps your transactions, reports, lists and attachments in your online account.
  • In QuickBooks Online, attached files sit in one place: Settings → Attachments.
  • QuickBooks Online also has an audit log of who changed what. Find it at Settings → Audit log.
  • QuickBooks Desktop saves everything in a company file. A backup of that file ends in .qbb.
  • In QuickBooks Desktop, press F2 or Ctrl+1 to open the window with your file details. On a Mac, press Command+1.
Step 02

How to measure what you have

Count your transactions and check your file size. These numbers show how big your records are.

  1. QuickBooks Online: go to Reports → Standard reports → For my accountant → Transaction List by Date.
  2. Set the Report period to cover every year, then select Run report. The number of rows is roughly your number of transactions.
  3. QuickBooks Online: open Settings → Attachments to see how many files are attached to your books.
  4. QuickBooks Desktop: press F2. In the File Information section, note the File Size and the Total Targets count.
  5. QuickBooks Desktop: go to Reports → Accountant & Taxes → Transaction List by Date to see your transactions in date order.

Intuit says a Desktop company file has no size limit, but QuickBooks gets slower as the file grows.

Step 03

How far back your records go

The oldest transaction in your books shows how many years of history you have. Find that first date and write it down.

  1. Open Transaction List by Date in either version of QuickBooks.
  2. Pick All Dates if you see it. If not, set a custom start date far in the past, like 01/01/1990, and end it today.
  3. Run the report. The first rows show your earliest transactions.
  4. Check what those first rows are. If they are opening balances, your older history may live in another system or an older file.
  5. In QuickBooks Desktop, ask if anyone ever ran Condense Data. That tool can remove transactions before a date you choose, so older detail may be gone from the main file.
Step 04

How to save a copy

Save your books in a format you can open without QuickBooks, like Excel. For Desktop, also keep a full backup file. Store copies on a drive your company owns.

  1. QuickBooks Online: go to Settings → Export data. Pick a reason → Continue. On the Reports tab, set the date range. Turn on the reports and lists you want → Export to Excel. You get one .zip of Excel files.
  2. QuickBooks Online: go to Settings → Attachments. Select the files, then Batch actions → Export. They download as a .zip file.
  3. QuickBooks Online: export items that Export data skips. For the chart of accounts, go to Reports → Standard reports → Account List → Export/Print → Export to Excel. Do the same for estimates, purchase orders and recurring templates.
  4. QuickBooks Online: to save any single report, go to Reports → Standard reports → pick the report → Export/Print → Export to Excel.
  5. QuickBooks Desktop: check the file first. Go to Window → Close All, then File → Utilities → Verify Data. If it says your data has lost integrity, run File → Utilities → Rebuild Data. QuickBooks will ask you to make a backup first.
  6. QuickBooks Desktop: go to File → Switch to Single-user Mode. Then File → Back up Company → Create Local Backup → Local Backup → Next. Click Browse to pick a folder, then choose Save it now. This makes a .qbb file.
  7. QuickBooks Desktop: payroll forms are not in the backup. Print them or save them as PDFs.
Step 05

Limits and deadlines to know

Cancelling, old software versions and some tools can cut off access to your history. Know these limits before you shut anything down.

  • After you cancel a paid QuickBooks Online plan, you can view your data in read-only mode for one year. If you cancel a free trial, you have 90 days.
  • Intuit says to export or print your data before you cancel, not after.
  • The QuickBooks Online audit log only keeps events for two years. Older change history is not there.
  • Export data does not include attachments, estimates, purchase orders or recurring templates. Export those on their own.
  • Intuit's attachments help page lists supported file types (PDF, JPEG, PNG, DOC, XLSX, CSV, TIFF, GIF and XML). It does not give a size limit, so open a few exported files to make sure they work.
  • In QuickBooks Desktop, Condense Data removes old transactions. Make a full .qbb backup first, and do not condense a file you want to keep whole.
  • QuickBooks Desktop 2023 was discontinued after May 31, 2026. It no longer gets security updates, bank feeds or payroll services. Keep Excel or PDF copies of key reports along with your .qbb backup.

Keep the data in your own hands. Save your exports and backups to storage your company controls, and keep at least two copies.
